Privacy
Crux Accounting collects personal information to provide the bookkeeping and tax services you engage us for, to answer people who ask about working with us, and to publish client reviews with consent. Crux is based in British Columbia, so we handle it under BC's Personal Information Protection Act, and under the federal Personal Information Protection and Electronic Documents Act (PIPEDA) for clients in other provinces and the territories.
What we collect
- Contact details: your name, email, phone and business details.
- Tax identifiers: your social insurance number and business number, used only on your returns and CRA forms.
- Financial records: bank, card and payment-processor records, receipts, and the figures for your home and vehicle where they apply.
- CRA records: notices, statements of account and correspondence for the years we work on.
- From our website: only what you choose to send through a form, such as a review or your fit check answers and booking details.
How we use it
To keep your books, prepare your returns, file your GST/HST returns, and deal with CRA for you under the authorization you give. We don't sell your information or share it for marketing. We disclose it only with your consent, or where the law requires it, such as a CRA requirement or a court order.
If you leave a review on our website, we use your email only to confirm that you're a Crux client and to tell you when your review is up, and we never publish your email. With your consent, we publish the review on cruxaccounting.ca under your name or business, shown the way you chose, which shows publicly that you're a Crux client. We take it down whenever you ask.
The fit check on our website scores your answers in your browser. Nothing is sent unless you choose to send it to Crux at the end; then we receive your answers and the result, your name and contact details, and anything you add on the booking form.
Where it is kept
Your information is kept in password-protected accounts: QuickBooks Online, TurboTax Online, Gmail and Google Drive, Adobe Acrobat Sign, and Crux's workspaces in the AI tools named below. Some of these services store data outside Canada. Working papers are kept on Crux's own computer and in Crux's Claude workspace.
Our website
cruxaccounting.ca is hosted by Cloudflare, which processes your IP address to deliver the site and protect it from attacks. When you send a form on the site, it goes through Web3Forms, a form service with servers in the United States, which emails it to Crux's Gmail. The site has no cookies, analytics or ad trackers, and its fonts come from the site itself.
Our use of AI
Crux uses AI tools to work faster: Claude by Anthropic and Microsoft Copilot to organize records and draft working papers, letters and returns, and QuickBooks Online's built-in AI to read receipts and categorize transactions. Crux reviews all AI-assisted work and is responsible for it.
How long we keep it
We keep working papers and copies of your records for at least six years after the last tax year they relate to, or longer where CRA requires, then destroy them securely. Your original records are yours and are returned on request.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw consent for uses that aren't required by law. Write to our privacy officer at hello@cruxaccounting.ca.
